Project Cockpit

Run a multi-partner EU proposal from one place, not from Excel, Dropbox and WhatsApp.

Project Cockpit gives the coordinator a browser dashboard for the whole consortium: status, deadlines, partners, files and compliance. Hosted in the EU, on EU-owned infrastructure.

Early access. Built by people who have coordinated a couple of hundred EU proposals.
The problem

A proposal is a project in its own right. It is run with the wrong tools.

A Horizon Europe proposal is a three to twelve month coordination effort. It spans six to thirty organisations in five to fifteen countries. The deadline does not move.

Today it is run with Word, Excel, Dropbox, email and WhatsApp. The coordinator builds a tracking sheet, then loses it to version chaos in the last fortnight. Partner inputs arrive late, in the wrong template, or to the wrong person.

The proposal content itself is pre-publication research and commercially sensitive. It is passed around in attachments, and it often ends up on tools that a public institution is not allowed to use.

What you get

The dashboard you would otherwise build in Excel, without the chaos.

1

Proposal status and deadlines

One view of where the proposal stands: sections, owners, what is due and what is late. The call deadline and your internal milestones on the same timeline.

2

Consortium and partner status

Every organisation with its role, contact, budget share and the state of its contributions. See at a glance who has delivered and who needs a call.

3

Structured file collection

Partners upload into named slots, not into an inbox. Every file is versioned. The coordinator always knows which version is current and who changed it.

4

Compliance checklist per call type

A checklist matched to the action type and the call, covering the administrative forms, declarations, budget rules and page limits that get proposals rejected.

5

Deadline notifications

Reminders go to the person who owns the item, ahead of time, without the coordinator writing the chasing email.

6

Roles per proposal

Coordinator, work-package leader, partner contributor, external reviewer. Each person sees only what is theirs, and nothing of the other partners' material that they should not see.

How a proposal runs in it

Four steps from a blank workspace to a submission-ready file set.

Create the workspace and invite partners

Set the call, the action type and the deadline. Add the organisations and assign roles. Partners receive an invitation and see their own part of the proposal.

Assign sections and collect inputs

Work packages, sections and forms are assigned to owners with due dates. Partners upload into their slots. The coordinator watches progress rather than chasing it.

Review, consolidate and check compliance

Reviewers comment against specific versions. The checklist for the call turns from red to green as forms, declarations and budget lines are completed.

Submission-ready file set

The final versions of every part, the administrative annexes and the budget, together in one place, ready for upload to the funding portal.

Data sovereignty and security

Your proposal never leaves EU soil.

Proposal content is unpublished research and commercial strategy. Many universities and public research organisations cannot place it on US-hosted services, and many would rather not.

Project Cockpit runs on infrastructure in the European Union that is owned and operated by an EU company. There is no US parent, no transfer outside the EU, and no third-party processing of your content.

  • EU hosting on EU-owned infrastructureServers, storage and backups are located in the EU and operated by an EU entity.
  • Encryption at rest and in transitAll connections are TLS. Stored files and databases are encrypted on disk.
  • Audit loggingEvery upload, download, role change and access to a proposal is recorded and available to the coordinator.
  • GDPRData processing agreement on request. Personal data is limited to what the coordination needs, and is deleted on request.
Who it is for

Whoever holds the deadline.

Research offices

University and research-centre grants teams that support several proposals at once and need to see all of them without opening every folder.

Coordinators

The principal investigator or project manager leading a consortium, who needs partner inputs on time and in the right shape.

SMEs leading proposals

Companies coordinating Innovation Actions or EIC applications with academic partners, without a grants office behind them.

Pricing

Per proposal, not per seat.

Placeholder

Pricing is being set with the early-access consortia. The intended model is a charge per proposal workspace, with partners and reviewers joining at no cost to them.

Figures, tiers and institutional terms will appear here. Until then, ask.
